We are excited to announce a new job opening at WSIPC for the position of Executive Assistant / Facilities Coordinator. This is a fantastic opportunity for an organized and dynamic professional to join our team, contributing to the success of WSIPC while managing key administrative and facilities-related tasks.

About the Role

As the Executive Assistant / Facilities Coordinator, you will serve a pivotal role in supporting WSIPC’s executive team, providing high-level administrative assistance to the CEO, board members, and senior leadership. This includes managing schedules, coordinating meetings, preparing materials, and ensuring seamless communication across departments.

Additionally, this role includes oversight of our facilities, ensuring that WSIPC’s headquarters and operations spaces run smoothly. You will coordinate vendors, oversee maintenance activities, and help create a safe and efficient environment for our employees.

Key Responsibilities:

  • Provide comprehensive administrative support to the CEO and executive team
  • Manage calendars, travel arrangements, and correspondence
  • Coordinate meetings, including preparing agendas, materials, and taking minutes
  • Ensure smooth daily operations of WSIPC’s facilities, including managing service providers and maintenance
  • Assist in organizing events and meetings both onsite and offsite
  • Serve as a point of contact for both internal and external stakeholders

Qualifications:

The ideal candidate should have:

  • Strong organizational and multitasking skills
  • Exceptional communication and interpersonal abilities
  • Experience with office management and executive support
  • Ability to handle sensitive information with discretion
  • Familiarity with facilities management is a plus
  • Proficiency in Microsoft Office Suite and other relevant software
